Discussion Protocol
The Cytopia discussions are small-group exchanges organized within each thematic cycle. They rely on a semi-structured format aimed at producing usable content for the articles, closing conferences, and final book. They also serve as AI-enhanced material, within a framework of explicit consent and systematic participant validation.
1. Preparatory Work
Before the discussion, the invited person provides a short personal introduction (background, areas of expertise, interests, current work). This step makes it possible to identify the most relevant themes for the conference and adapt the questions to the interviewee’s profile.
2. Format and Duration
The indicative duration of a discussion is 30 minutes. The interview is structured around a core set of questions prepared in advance, with follow-ups added based on what emerges during the exchange.
3. Recording and Consent
At the start of the discussion, the team explicitly asks for permission to record the exchange in order to make later article writing easier. Recording only takes place after the invited person’s explicit agreement.
4. Transcription and Processing
The transcription mode is defined in advance:
- oral transcription (summary and synthesis of the exchange);
- or written transcription (verbatim or edited version).
The use of artificial intelligence tools to assist transcription or rephrasing is subject to explicit consent.
5. Validation by the Interviewee
The transcript is systematically sent to the interviewee for validation. They have the right to review, delete, and modify the information, including the wording or the tone reproduced.
6. Operating Principles
The discussion protocol is based on two non-negotiable principles:
- transparency about how the collected content is used;
- trust between the participants and the editorial team.
Each validated discussion can then be turned into a written contribution and integrated into the cycle’s scientific program. The validated content is then structured to contribute to a queryable semantic editorial base.
